Who we are
Conger Hill Trust is responsible for the personal information it collects and uses in connection with its charitable activities, including Toddington Community Fridge.
Information we may collect
Depending on how you interact with us, we may collect information such as your name, contact details, information you provide when volunteering or making an enquiry, records relating to donations or expenses, photographs where appropriate permission has been obtained, and information needed to operate our activities safely.
Where it is necessary for safeguarding, health and safety, food safety or another legitimate purpose, we may also need to record more sensitive information. We will only do this where there is an appropriate reason and lawful basis.
How we use personal information
We may use personal information to communicate with you, organise volunteers and activities, administer donations and finances, keep appropriate governance and operational records, manage safeguarding or safety concerns, respond to complaints or enquiries, meet legal and regulatory requirements, and communicate the work of the Trust.
Our lawful basis
The lawful basis we rely on will depend on why information is being used. This may include our legitimate interests in operating and governing the charity, compliance with a legal obligation, performance of an agreement, protection of somebody's vital interests, or consent where consent is appropriate.
Sharing information
We do not sell personal information. We may share information where this is necessary with service providers, professional advisers, insurers, regulators, public authorities, safeguarding bodies, law enforcement agencies or partner organisations. We will only share information that is relevant to the purpose concerned.
Safeguarding information
Information about safeguarding concerns is handled with particular care. Confidentiality is not absolute and information may be shared where necessary to protect a child or adult at risk, prevent harm, comply with the law or enable an appropriate authority to investigate a concern.
Photographs and publicity
We use photographs and social media to communicate our work and promote community involvement. Identifiable photographs of beneficiaries should only be taken or published with appropriate permission, with particular care taken in relation to children.
How long we keep information
We keep personal information only for as long as it is reasonably required for the purpose for which it was collected and to meet any legal, regulatory, safeguarding, insurance or accounting requirements. Different types of records may therefore be kept for different periods.
Keeping information secure
We take reasonable steps to protect personal information against loss, misuse, unauthorised access or disclosure. Access to information is limited to people who need it for their role.
Your rights
Data protection law gives individuals rights over their personal information in certain circumstances. These can include the right to ask for access to information, to have inaccurate information corrected, to object to or restrict some uses of information, and in some circumstances to ask for information to be erased.
You also have the right to complain to the Information Commissioner's Office if you are concerned about how your personal information has been handled.
